Trading Terms HairMD London Last updated: August 2026 1. Deposits A deposit of £1,000 is required to secure your procedure booking. This deposit forms part of the total treatment cost and is deducted from your final balance. Deposits are personal to the patient who books the procedure and cannot be transferred to another individual without the practice's agreement. 2. Cancellations and Rescheduling - If you cancel or reschedule with more than 7 days' notice, your deposit will be refunded in full or transferred to a new appointment date, at your choice. - If you cancel or reschedule with between 48 hours and 7 days' notice, a deduction of £[Admin Deduction Amount] will be made from your deposit to cover the costs of rebooking and lost appointment time, and the balance will be refunded or transferred to a new date. - If you cancel or reschedule with less than 48 hours' notice before your scheduled appointment, your deposit will be forfeited to cover the costs of the reserved surgical time, staff, and facilities that cannot be reallocated at short notice. We will always act reasonably and may, at our discretion, waive or reduce any deduction in exceptional circumstances (such as serious illness or bereavement). Statutory cancellation rights (distance contracts): If you book your procedure online, by telephone, or otherwise at a distance (not in person at our clinic), you may have a statutory right to cancel your booking within 14 days under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, unless you have expressly requested that the service begin within that 14-day period and acknowledged that you will lose your right to cancel once the service has been fully performed. Where you exercise a statutory cancellation right, you will receive a full refund of any deposit paid, less any amount you have agreed to pay for services already performed at your express request before cancellation. 3. No-Shows If you do not attend your scheduled appointment without prior notice, your deposit will be forfeited in full. 4. Rescheduling by the Practice On rare occasions, it may be necessary for us to reschedule your appointment — for example, due to your surgeon's illness or unavailability. Where this happens, we will offer you the next available appointment date and your deposit will remain valid and be transferred to the new date. This will not result in loss of your deposit. 5. Payment The remaining balance is due on the day of your procedure, unless otherwise agreed in advance. We accept the following payment methods: cash, card, bank transfer, and third-party finance (where arranged separately with a finance provider). Prices quoted at your consultation are valid for [Quote Validity Period] from the date of the quotation. After this period, prices may be subject to change. Your final price will be confirmed in writing before your procedure is booked and will not be changed after booking without your agreement. 6. Finance Arrangements Where you choose to pay via a finance provider, your agreement is with that provider directly and is subject to their own terms, credit approval, and applicable interest or fees. HairMD London is [insert accurate FCA / credit broking status after verification] and does not provide financial advice. We may provide information about finance providers as a signpost only. The practice is not responsible for the terms of any third-party finance agreement. 7. Clinical Suitability and Right to Decline Treatment All procedures are subject to a clinical assessment by your surgeon. We reserve the right to decline, postpone, or amend a proposed treatment plan where it is not considered clinically appropriate or safe to proceed, either at consultation or on the day of your procedure. Where this occurs, we will discuss the reasons with you. If we decline to proceed with treatment on clinical grounds, or if treatment is postponed at our request and you do not wish to proceed with an alternative date, your deposit will be refunded in full. 8. Informed Consent Hair restoration procedures carry inherent clinical risks, and outcomes vary between individuals. Before any procedure, you will be asked to review and sign a separate, detailed clinical consent form setting out the risks, expected outcomes, and aftercare requirements specific to your treatment. These Trading Terms do not replace that clinical consent process. 9. Photography and Marketing Use We may take before-and-after photographs or videos as part of your clinical record. These images will only be used for external purposes, such as marketing, social media, or the website, with your separate, explicit written consent, which you may withdraw at any time. Withdrawal of consent will not affect the lawfulness of processing carried out before withdrawal. We will make reasonable efforts to remove images from future use and from platforms we control. Where images have already been published on third-party platforms, we will use best efforts to request their removal, though we cannot guarantee this. 10. Complaints We take all complaints seriously and aim to resolve them promptly and fairly. Stage 1 (Informal): Contact us at hairmdlondon@gmail.com or +44 7743 017360.
